Part of Budgeting a fitness creator operation with illustrative figures, labour, insurance and VAT

Fitness creators budget template: a blank planning guide

A blank fitness creators budget template for cost and income lines, cash timing, economic cost, work packages, evidence statuses and version control.

A fitness creators budget template should preserve the source behind each number. Build three cost outputs from one input sheet: committed cash, cash by payment date and economic cost. Plan income on a separate worksheet — brand deals and sponsorship, advertising revenue, memberships, affiliate income and one-off content sales — so it is never netted against committed cost. Keep contribution, attribution and health measures elsewhere until their definitions and evidence are approved.

This blank template was prepared on 5 September 2026. It contains no sample price, earning, saving, refund rate or expected return. Qualified reviewers must decide the accounting, tax, employment, consumer, health and contract treatment for the actual business.

What to take away

  • Build three cost outputs from one input sheetcommitted cash, cash by payment date and economic cost.
  • Plan income on its own worksheet, and keep contribution, attribution and health measures elsewhere until their definitions and evidence are approved.
  • Lock formula cells and retain superseded assumptions, because an overwrite hides why the budget moved.
  • Separate work packages instead of putting them into one overhead percentage.
  • Freeze the version and source pack together so a later reviewer can reproduce each total.

Input columns

Create these fields for every line:

Budget line input fields

  • Cost ID, work package, named owner
  • Supplier or internal worker, evidence status
  • Currency, unit, quantity, service period
  • Numerator, denominator or no-denominator reason
  • Unit price, fixed charge, source retrieval date
  • Net, VAT paid, expected recovery, gross cash
  • Commitment, invoice, payment, recognition dates

Columns for every line

Give every line these fields: line ID; work package; deliverable or exclusion; supplier or named person; currency; gross amount or rate; unit (day, hour, item, month, campaign); VAT registration status; VAT treatment; payment date; low sensitivity input; high sensitivity input; stop or approval condition; evidence status; owner; note.

Required work packages

Use separate sections for creator production, registered health review, advertising review, accessible versions, organic distribution, paid media, software, platform and payment deductions, rights, payroll on-cost, insurance, refunds, corrections, storage and supplier exit. Do not put these into one overhead percentage.

For employees, import actual payroll and time records. Apply the National Insurance treatment for each worker's category from HMRC's guidance for the tax year you are budgeting, rather than carrying an earlier year forward. Add paid leave from the worker's reviewed record; GOV.UK explains holiday pay for different working patterns.

Clinical labour needs a named person, scope and quote. The HCPC register can verify registration in the professions it covers, but it neither sets a fee nor approves a campaign.

Calculation outputs

For a stated GBP month, the cash requirement is gross payments due minus receipts expected that month; its numerator is net cash required and its denominator is not applicable. Include signed supplier payments, payroll, media, taxes and expected refunds. Exclude unsigned options and unapproved contingency.

Source each row from contracts, payroll or schedules; the finance owner varies payment dates and refund timing, and stops approval if the lowest cash balance breaches the agreed reserve.

Economic cost for the approved campaign period is external cost plus irrecoverable taxes plus internal resource value. Its numerator is total GBP resources consumed; no denominator applies. Include recorded creator, management and reviewer time.

Exclude recoverable VAT and unrelated standing costs unless the allocation rule includes them. The budget owner varies hours, review rounds and usage. Reopen once scope or tax decisions change.

HMRC says a VAT-registered business may reclaim VAT on qualifying business purchases when conditions and evidence are met, with restrictions for mixed or exempt use. Check GOV.UK for the current registration threshold, return periods and payment deadlines before you lock the budget. Use its reclaim guidance rather than removing all VAT automatically, and record the treatment on every row.

Advertising and platform schedules

Paid media gets its own authorised cap, account currency, period, platform statement and owner. Google's budget documentation describes average daily budgets and different daily and monthly limits. That supplier record is global and does not predict results or endorse the service.

For memberships or payments, reconcile customer gross amount, refunds, taxes, platform fee, processing, conversion, dispute and payout charges. Use first-party terms for the actual plan. Patreon's creator-fee record, for example, lists several fee layers beyond its platform percentage.

Review and freeze

Add evidence status to every row: assumption, quote, commitment, invoice or paid actual. Reforecast by adding a new version, not editing history. Release contingency only when its named trigger occurs.

The approval page should show total committed cash, next payment date, unresolved VAT, outstanding health and advertising review, refund exposure, exit provision and the person authorised to stop work. Freeze the version and source pack together so a later reviewer can reproduce each total.

Before you act

  • Create the listed input fields for every budget line.
  • Use separate sections for each required work package.
  • Import actual payroll and time records for employees.
  • Give paid media its own authorised cap and owner.
  • Add evidence status to every row.
  • Reforecast by adding a new version, not editing history.

Common questions

What does the cash requirement for a stated GBP month include?

It is the sum of gross payments due minus receipts expected during that month. Its numerator is net cash required and its denominator is not applicable. Include signed supplier payments, payroll, media, taxes and expected refunds. Exclude unsigned options and unapproved contingency.

How should VAT be treated in this budget?

HMRC says a VAT-registered business may reclaim VAT on qualifying business purchases when conditions and evidence are met, with restrictions for mixed or exempt use. Use its reclaim guidance rather than removing all VAT automatically. Economic cost excludes recoverable VAT unless the allocation rule includes it.

What should the approval page show before work is frozen?

It should show total committed cash, next payment date, unresolved VAT, outstanding health and advertising review, refund exposure, exit provision and the person authorised to stop work. Freeze the version and source pack together so a later reviewer can reproduce each total.
